Appeal Procedure

Standard Operating Procedure for Grade Appeals

Students have the right to appeal their final semester grades for specific courses on legitimate and justifiable grounds. The purpose of the grade appeal process is to ensure fairness, transparency, and accountability in academic assessment. The grade appeal process consists of three stages, as follows:

A. Stage I: Grade Appeal

  1. Before submitting an appeal against a semester examination grade announced through SIMAK, students must first consult with their Academic Advisor (PA). During the consultation, students must provide sufficient supporting evidence to substantiate their concerns regarding the grade received, such as class attendance records, examination results, assignment results, and the grade awarded.

  2. Following the consultation, students may submit a formal appeal to the course lecturer no later than 3 × 24 hours (72 hours) after the examination grade is announced, accompanied by the supporting evidence referred to in Point 1.

  3. The lecturer must review the student's final grade and supporting evidence of academic performance no later than 2 × 24 hours (48 hours) after receiving the appeal.

  4. If the appeal is accepted, the lecturer must recalculate the grade previously awarded. If the appeal is rejected, the student may proceed to Stage II no later than 2 × 24 hours (48 hours) after the rejection. If the appeal is accepted and the review results in a grade change that the student agrees to, the lecturer must report the revised grade to the Study Program for updating in the student's SIMAK record. The process must be documented in an official grade revision report signed by both the lecturer and the student. The report must be submitted no later than 2 × 24 hours (48 hours) after it is signed. If the student remains dissatisfied with the grade received, they may proceed to Stage II of the grade appeal process.

B. Stage II: Grade Appeal

  1. If the outcome of Stage I remains unacceptable to the student, the student may submit a Stage II appeal to the Head of the Study Program (Koprodi). The appeal must include the supporting evidence specified in Stage I, Point 1, as well as the grade awarded by the lecturer during Stage I. The appeal must be submitted no later than 2 × 24 hours (48 hours) after the Stage I decision is announced.

  2. The Head of the Study Program must review the documents submitted by the student and facilitate a mediation meeting involving the student, the course lecturer, and the Academic Advisor no later than 2 × 24 hours (48 hours) after the Stage II appeal is submitted. At this stage, the Head of the Study Program acts as the mediator and is expected to facilitate a resolution that concludes the appeal process at this stage.

  3. If, following mediation, the student accepts the revised grade, the lecturer must report the revised grade to the Study Program for updating in the student's SIMAK record. The outcome must be documented in an official grade revision report signed by the lecturer and the student and approved by the Head of the Study Program. This process must be completed no later than 2 × 24 hours (48 hours) after the report is signed.

  4. If the student remains dissatisfied with the revised grade at Stage II, they may proceed to Stage III of the grade appeal process.

C. Stage III: Grade Appeal

  1. If the outcome of Stage II does not meet the student's expectations, the student may submit a Stage III appeal to the Dean through the Vice Dean I (WD I). The appeal must include the supporting evidence specified in Stage I, Point 1, as well as the grades awarded by the lecturer during Stages I and II. The appeal must be submitted no later than 2 × 24 hours (48 hours) after the Stage II decision is announced.

  2. On behalf of the Dean, the Vice Dean I reviews the documents submitted by the student and facilitates a meeting involving the Head of the Study Program, the Academic Advisor, the course lecturer, and the student to resolve the student's objection. This process must be conducted no later than 2 × 24 hours (48 hours) after the appeal is submitted. At this stage, the Vice Dean I is responsible for determining the final grade outcome.

  3. Once a revised grade has been determined by the Vice Dean for Academic Affairs and Planning, the student shall be given the opportunity to select one of the grades awarded throughout the three stages of the appeal process. The grade selected by the student shall become the final and binding grade.

  4. The lecturer must report the final revised grade to the Head of the Study Program for updating in the student's SIMAK record. The process must be documented in an official grade revision report signed by the lecturer and the student and approved by the Head of the Study Program and the Vice Dean for Academic Affairs and Planning. The report must be submitted no later than 2 × 24 hours (48 hours) after it is signed. Stage III constitutes the final stage of the grade appeal process available to students. If a student remains dissatisfied with the outcome, they may submit a complaint through the Faculty of Economics and Business, Universitas Udayana's Complaints and Grievance Service (LAPAK) at: https://lapak.febunud.id.
