Standard Operating Procedure (SOP) for Grade Appeal
Students have the right to submit a grade appeal regarding their final semester grades in certain courses, provided that the appeal is based on accountable and justifiable reasons. The grade appeal process consists of three stages, as described below:
Stage I Grade Appeal
Before submitting an objection to the final examination grade announced through the Academic Information System (SIMAK), students must first consult their Academic Advisor (PA) by presenting sufficient evidence of dissatisfaction with the grade received, such as:
Class attendance records
Examination results
Assignment results
Grades obtained
After the consultation, students may submit a formal objection to the course lecturer no later than 3 × 24 hours after the grade announcement, accompanied by the supporting evidence mentioned above.
The lecturer shall review the final results and the student’s performance evidence no later than 2 × 24 hours after receiving the objection.
If the objection is accepted, the lecturer must recalculate the previously assigned grade. If the objection is rejected, the student may proceed to Stage II Grade Appeal no later than 2 × 24 hours after the rejection.
If the objection is accepted and results in a grade change that is approved by the student, the lecturer must report the revised grade to the Study Program for updating the student’s record in SIMAK. The final result at this stage must be accompanied by official minutes of grade revision signed by both the lecturer and the student, no later than 2 × 24 hours after signing.
If the student remains dissatisfied with the result, they may proceed to Stage II Grade Appeal.
Stage II Grade Appeal
If the outcome of Stage I is not acceptable to the student, the student may submit a Stage II appeal to the Study Program Coordinator (Koprodi), attaching:
All supporting evidence submitted in Stage I, and
The grade assigned by the lecturer during Stage I.
This appeal must be submitted no later than 2 × 24 hours after the Stage I appeal result is announced.
The Study Program Coordinator shall examine the submitted documents and mediate a meeting involving the student, the course lecturer, and the Academic Advisor no later than 2 × 24 hours after the Stage II appeal is submitted. At this stage, the Study Program Coordinator acts as an arbiter, and it is expected that the dispute can be resolved at this level.
If the revised grade resulting from the mediation is accepted by the student, the lecturer must report the revised grade to the Study Program for updating in SIMAK. The final result must be accompanied by official minutes of grade revision signed by the lecturer and the student and approved by the Study Program Coordinator, no later than 2 × 24 hours after signing.
If the student still does not accept the revised grade, they may proceed to Stage III Grade Appeal.
Stage III Grade Appeal
If the Stage II appeal outcome does not meet the student’s expectations, the student may submit a Stage III appeal to the Dean through the Vice Dean for Academic Affairs and Planning (VD I). The appeal must include:
Supporting evidence as submitted in Stage I, and
Grades assigned during Stage I and Stage II appeals.
This appeal must be submitted no later than 2 × 24 hours after the Stage II decision is announced.
On behalf of the Dean, the Vice Dean for Academic Affairs and Planning (VD I) shall examine the submitted documents and facilitate a meeting involving the Study Program Coordinator, Academic Advisor, course lecturer, and the student to resolve the appeal. This process must be carried out no later than 2 × 24 hours after the appeal is submitted. At this stage, the Vice Dean serves as the final decision-maker regarding the student’s grade.
If a revised grade is issued by the Vice Dean for Academic Affairs and Planning, the student shall be given the opportunity to choose one grade from all results obtained throughout the appeal stages. The grade selected by the student shall become the final and binding grade.
The lecturer must report the final revised grade to the Study Program Coordinator for updating in SIMAK. The final result must be accompanied by official minutes of grade revision signed by the lecturer and the student and approved by the Study Program Coordinator and the Vice Dean for Academic Affairs and Planning, no later than 2 × 24 hours after signing.
Stage III Grade Appeal is the final appeal mechanism available to students. If the student remains dissatisfied with the outcome, they may submit a complaint through the FEB Unud Complaint and Feedback Service (LAPAK) at: lapak.febunud.id.
